Job Description:

The Operations Manager provides administrative leadership and management of the front-end operations within the Department of Family Medicine (DFM). The Operations Manager works collaboratively with, and serves as a liaison to, the multiple internal mission areas within DFM, including clinical, educational, and research areas. Oversees Practice Managers, PRA’s, the Build Team, Prior Authorizations, Forms and Referrals. This individual functions in a leadership role, and is responsible for setting goals, priorities, and performance standards for front end operations. Develops, maintains, and ensures staff adherence to HFM policies and procedures. The Manager will enhance the level of service provided, maintain effective relationships with clinic leaders and staff, and assure appropriate feedback loops. This position requires an understanding of how scheduling and registration functions impact patient access, clinic flow, quality of care, patient experience, and the revenue cycle across the Primary Care Service Line.

This position requires the ability to independently plan, schedule, organize, and respond appropriately on a wide variety of subjects and situations. The Operations Manager participates in developing departmental budget, and monitors expenditures. The Manager maintains organizational administrative policies and procedures to assure compliance with regulatory affairs. This position will develop a dashboard to track metrics and present results to the senior leadership team. In collaboration with the Sr. Program Administrator will develop a strategic plan and implement operational strategies to meet identified goals.

Salary Range:

$54,600-$72,000 annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Qualifications:

  1. Education: Bachelor Degree, or equivalent combination of education and experience.

  2. Experience: Minimum of 5 years of relevant operational and supervisory experience in a healthcare setting required. Demonstrated success with performance improvement and customer services in prior positions, verified via resume, employment application, and/or reference letters or reference contacts.

  3. License/Certification Required: none

  4. Skills: e-Record (Epic) experience highly desirable. Proven self-starter with a high level of emotional intelligence, energy, with attention to detail and follow-up, with excellent computer and interpersonal skills. Ability to establish and to maintain positiveand professional relationships with management, staff, providers, patients, other departments, such as Compliance, Data Integrity Office, Primary Care Network.

  5. Demonstrated skill in understanding of cultural differences.Ability to cultivate and develop inclusive and equitable working relationships with patients, learners, faculty, staff and community members.

Population Served: Newborn-Adult

E-Time and HRMS proficiency is required.

Flowcast, Analyzer and e-Record experience required. Proven employment record as self-starter with a high level of energy, with attention to detail and follow-up, with excellent computer and interpersonal skills.
